How to migrate from Sage Accounting to Sage 50

Migrating your company data from Sage Accounting to Sage 50 Accounting.

Resolution

 NOTE: Migrating from Sage Accounting to Sage 50 is an involved process. Our Sage Expert Services (SES) provide this service at an additional fee. 

Pre-requisites 

  • Get a Sage 50 CT subscription. This is separate from Sage Accounting
  • Install the latest version of Sage 50
  • Activate Sage 50 with a Sage 50 CT subscription or SAN membership
  • Sage 50 must not be in trial mode

How to integrate

1. Backup Sage Accounting

  1. Log in to your Sage account.
  2. Back up your data.

2. Preliminary setup in Sage 50

 NOTE: You can't transfer zero dollar invoices from Sage Accounting to Sage 50.

  1. If you don't have an existing Sage 50 file, create one.
    • Use the option to set up a default generic chart of accounts
  2. Sage 50, go to Setup, User Preferences, View and enable Account Receivable, Account Payable and Inventory modules.
  3. In Sage 50, create an expense account called "Opening Balances Control Account".
  4. In Sage 50, go to Setup, Settings, Inventory, Options, and uncheck Allow inventory levels to go below zero.
  5. In Sage Accounting, go to SettingsOpening BalancesGeneral Ledger.
    • Use the listed date as the Fiscal Year End date in the new Sage 50 company
    • Use a year before that date for the Fiscal Start date in Sage 50
    • Alternatively, check with your accountant for a Fiscal Start date
  6. In Sage Accounting, set all the Stock Items expense accounts to Cost of Goods Sold.
    • Don’t use an Inventory asset account
    • Alternatively, change the inventory items to the Non-Stock type if no transactions are posted
  7. Create a backup of your Sage 50 file.
    • Name the backup "Sage Accounting Integration" followed by the company name and date

 CAUTION: After this point, don't restore any Sage 50 backups, disconnect the Sage Accounting connection, or run the integration wizard again. 

3. Follow the Sage 50 integration wizard to finish the setup

  1. Log in as sysadmin in Single-User mode and close other windows.
  2. Make a backup of your Sage 50 data if you haven’t done it.
  3. Go to File, Sage Accounting, and then select Set up Connection.
  4. Sign in with your Sage account email address.
  5. Click Allow on the 'Authorize Application' window.
  6. Select the Sage Accounting company name from the dropdown menu and use the Auto Setup option.
  7. Click Start.
  8. Once you get the Success window, click Finish.

4. Downloading Sage Accounting transactions

 NOTE: Sage 50 will only download transactions in one fiscal period at a time. If you have multiple fiscal periods to download, you will get an error. 

  1. Go to Setup, Settings, Company, Information, Current Year Dates.
  2. Set the period to download in Sage 50.
  3. Go to File, Sage Accounting, Download Transactions.
  4. If you get errors about mapping accounts and sales taxes, click Start Connection Wizard to resolve the mapping issues.
  5. Set up linked accounts.
  6. Leave Accounts Receivable and Accounts Payable blank and don't map them.
  7. Verify that the financials in Sage 50 match the financials in Sage Accounting.
  8. Repeat the steps as required until you've downloaded all transactions.
  9. Once you reach the latest fiscal year, the download window displays "Download Complete".
  10. Click OK.
