Description | There are three ways to file T4s on behalf of a client on the CRA website. Using a Web Access Code is the easiest process. |
Resolution | When filing T4 on behalf of a client Filing using a Web Access Code (WAC) - Follow the steps to file T4s electronically in Sage 50.
- After creating the XML file, use the XML updater tool to update the XML file.
NOTE: The updater tool updates the employer Business Number to the 15-character Business Number used when logging in with a WAC. - Go to the CRA T4 submission page and upload the XML file.
Filing from Represent a Client (RAC) - Follow the steps to file T4s electronically in Sage 50.
- Select the checkbox for Filed by Representative on the Transmission Information tab.
- Enter your 7-character representative ID in the Representative ID field. If you don't have a Representative ID, follow these instructions from the CRA to get one.
- Leave the Representative BN field blank.
- Make sure the Transmitter Name doesn't have any ampersands in it. If it does, replace '&' with 'and'.
- Go to the CRA T4 submission page and upload the XML file.
- If you're having trouble filing from RAC, file using a Web Access Code.
Filing using My Business Account (MyBA) - Follow the steps to file T4s electronically in Sage 50.
- Select the checkbox for Filed by Representative on the Transmission Information tab.
- Leave the Representative ID field blank.
- Enter your 9-character Business Number in the Representative BN field.
- After creating the XML file:
- If you sign in to the MyBA portal with a 9-character Business Number, upload the file as is
- If you sign in to the MyBA portal with a 15-character Business Number, use the XML updater tool to update the XML file from the 9-character Representative Business Number to the 15-character Business Number
- Go to the CRA T4 submission page and upload the XML file.
Instructions for using the XML updater tool - Download the XML updater tool.
- Go to your Downloads folder and double-click the S50CA_XML_Updater.exe to run it.
- Click Browse to select one or multiple XML files to update.
- Select Update Transmitter Account Number and remove RepID.
- Enter your 15-character Business Number in the new 15-character Transmitter Account Number field.
- If you want to update the file encoding to ISO-8859-1, activate this option.
NOTE: This may be required if you encounter issues related to special characters. - Click Update XML files.
- An updated version of your XML file will be saved in the same location with the file name: 'Updated-<original name>.xml'.
- The original XML file remains available and unmodified in the same location.
When filing T4 on your own - You need a 15-digit RP Business Number to submit T4s
- The RP Business Number is the same as your Payroll Account Number in Sage 50
- Contact the CRA to apply for the RP Business Number if you don't have one
- RZ Business Numbers will generate an error message on the CRA website
- Once you have the RP Business Number, file your T4s as usual
When filing T5018 - Follow the steps to file T5018 electronically.
- After creating the XML file, use the XML updater tool to update the XML file.
- Go to the CRA T5018 submission page and upload the XML file.
When filing T4A - Follow the steps to file T4A electronically.
- After creating the XML file, use the XML updater tool to update the XML file.
- Go to the CRA T4A submission page and upload the XML file.
