How to create an Accountant's copy

Non-Sage 50 Cloud subscribers

  1. Open the company file in Sage 50.
  2. Select File, Accountant's copy, then Create Accountant's copy.
  3. Enter the File Name.
  4. Use the default location (C:\ Program Files (x86)\Sage 50 Accountant Edition\DATA\Accountant\Filename) or Browse to the desired location.
  5. The location must have full read/write permissions.
  6. Select OK.
  7. Transfer the .CAB file to your accountant to work on your company file. Send the file to a file-sharing service like One Drive or put on a flash drive.
  8. Your accountant will use this file to make General Journal entries while you continue to work with your company data.

While your accountant is working on this file, refrain from the following tasks

  • Delete or renumber an account
  • Delete or rename a project
  • Delete or renumber a department
  • Delete or rename a tax code
  • Delete or modify any currency information
  • Changes to any of the above items will prevent your accountant's entries from importing
  • When the accountant returns the file to you, restore it using the revised Accountant's copy 

Sage 50 Cloud subscribers

  1. Share your file with the SAN Accountants Edition using Remote Data Access.
  2. Create a new user with user rights for your accountant to access. Select to Add users (non-remote) to access your data file.
  3. Have your accountant download the company file to access using Remote Data Access.
