Description

Resolution

The steps below assume you have a negative invoice or you have voided a paid invoice.

  1. Go to Customers & Sales (Receivable) and open the Receipts window.
  2. Select customer you want to refund.
  3. In Paid By, select a refund method.
  4. If by cheque or cash, in Deposit To, select the bank account the refund is coming from.
  5. If by cheque, enter the Cheque number you'll be cutting the refund to.
TIP: For clarity, add a prefix in the Cheque field to separate deposit cheques from refund cheques.
  6. Select the negative invoice that you're refunding.
  7. The Total amount must be negative.
  8. Click Process (Post).
  9. If refunding by cheque, write a cheque to the client. Alternatively, use the Pay Expenses, Make Other Payment option to print a cheque only (not a post):
    • Select Vendor and Purchase/ Payables module
    • Select the Payments icon
    • On the Payments Journal, change Pay Purchase Invoices to Make Other Payment
    • In the By field, choose an option
    • Verify Bank Account
    • Select an Account in the Acct field
    • Enter the Amount
    • Verify the Total is correct
    • Click the Print icon, but don't click Post
  10. If refunding by cash, then hand the cash amount to the client.
  11. If refunding by other means, then use the other method (such as a debit machine).
