Change the period end date on Payroll checks

Options

  • You can't change the Period End Date if a check already exists for that date and employee: Delete the check
  • Checks with New or Processed status: Modify the period end date
  • Checks with Accrued, Printed, or Posted status: Void and reissue the checks

For New or Processed checks

  1. Go to Inquiry, Check Information, Check Activity to verify the checks for correction are in the New file.
  2. Select the New file and click OK.
  3. Review the dates in the Period End Date column.
  4. Note checks that have the correct period end date and information.
  5. Click Close.
  6. Go to Tasks, Post Checks.
  7. Post the checks noted in step 4.
  8. Use File Tools to create a backup of the New.prt file.
  9. Select Tools, Modify Period End Date.
  10. Type the correct period end date in the New Period End Date box.
  11. Enter the correct Period Begin Date.
  12. Select the PR Transaction file has been backed up checkbox.
  13. Click Start.
  14. Review the journal to confirm that the period end dates are correct.
  15. If you use daily time entries: Changing the period end date also changes the date for daily time entries. Correct these in Tasks, Change Time Entries, Change unposted time after modifying the period end date. See more information about modifying the period end date for daily time entries.
  16. Process, print, and post the check as normal.

For Accrued, Printed, or Posted checks

  1. Post checks that have the correct period end date and information.
  2. Void checks with incorrect date and retain them as new.
  3. Select Tools, Modify Period End Date.
  4. Type the correct period end date in the New Period End Date box.
  5. Enter the correct Period Begin Date.
  6. Select the PR Transaction file has been backed up checkbox.
  7. Click Start.
  8. Review the journal to confirm that the period end dates are correct.
  9. If you use daily time entries: Changing the period end date also changes the date for daily time entries. Correct these in Tasks, Change Time EntriesChange unposted time after modifying the period end date. See more information about modifying the period end date for daily time entries.
  10. Process, print, and post the check as normal.
