NOTE: Before printing T4: - Goto payroll and open the employee profile.
- Under Earnings tab, check the Last Year column. This column should contain the amounts for last year.
- If the Last Year column shows the amounts for the year before, you need to Perform a Payroll Year End to move the amounts from This Year column to Last Year column.
Create Employee List - Log in the company with a day in the New Year.
- Click Edit, Payroll, T4 and T4 Summary.
- On the Create List of Employees window select required criteria and then click OK.
- This employee list can now be used for T4, T4 Summary and T4 electronic filing.
- Open each employee's record to review the amounts and make any neccessary changes.
T4 Printing - On the T4 and T4 Summary window, select the check box for employees that require a T4.
- Click Print.
- You will receive 3 prompts for Canada Revenue Agency CRA copy, Employee copy and Employer copy
NOTE: Employee T4s may be modified before printing by clicking the Modify icon. The Modified column will display Yes if details are changed. For more information see video below. T4s can be reprinted at anytime as long as the earning year is in the Last Year column in payroll. T4 Summary - With employees selected as per Create Employee List section above, click the dropdown arrow next to the Print icon, and then click Print T4 Summary.
- Click OK to the prompt that the T4 summary will only include amounts for the selected employees.
- On the T4 Summary window, provide details for contact name, telephone and business type, and SIN if required by the business type selection.
- Click Print.
T4 Electronic File (Export to Web) - Click Edit, Payroll, and select T4 and T4 Summary.
- Click Select All (Ctrl+E) icon, then click Export to Web (Ctrl+W) icon.
- In the Data Type Code box, Original is selected automatically. You can choose Amended or Cancelled id requied by the CRA.
- In the CRA Acct No. Format, select the format that CRA assigned to your company.
- In the CRA Account Number, enter the account number assigned by CRA for your T4 submission.
- In the Representative I.D.: leave it blank if you are filing for your company. Enter Representive ID if you are filing as a Representative.
- In the Submission Ref I.D.: The default number is 00000001. Accept that number for the original submission. If you re-submit the T4, enter number 00000002 or so on.
- In the Submission number box, enter number that will be included in file name (example: 001 for RCTTAX001.XML).
- Enter the address, contact and other details.
- Under Employer Info tab, enter details for contact name, telephone, taxation year, business type, and SIN if required by the business type selection.
- Click OK to create the submission file. The program writes the information into a file called RCTTAXxxx.XML in the directory you specify.
- Go to CRA Website, sign in with your credentials and upload the T4 file.
CAUTION: This XML file contains confidential employee T4 information. We suggest that you save the file in a location with restricted access to other users. NOTE: This XML file also contains the T4 summary, so no need to submit the T4 summary separately. [BCB:162:Chat BusinessVision CA:ECB]
