ARCHIVED: How do I import my records from one company into a new company?

Summary

I want to create a brand new company and import my previous company's records into it. I want to export records from one company file and import into another company file. Is it possible to export your Chart of Accounts from Quantum to Premium?

Resolution

CAUTION: Use caution when working with the below product functionality. Always create a backup of your data before proceeding with advanced solutions. If necessary, seek the assistance of a qualified Sage business partner, network administrator, or Sage customer support analyst.

  • The types of records that can be imported and exported are:
    • Chart of Accounts
    • Vendor Names
    • Customer Names
    • Employee Names
    • Project Names
    • Inventory Names

To export your records from Sage 50 Pro, Premium or Quantum follow the following steps:

  1. Click File
  2. Click Import/Export
  3. Click on Export Records
  4. Choose the option to Export records to a Sage 50 import file format and click Next
  5. Choose the type of record you wish to export. (Note: you can only export one record at a time)
  6. Give your file a name you can recognize easily
  7. Click on Browse and choose a location to export your record to.
  8. Click on Next
  9. Select the items you want to export by selecting them one at a time or clicking on Select All
  10. Click Next and then OK
  11. It will prompt you to click on Finish once it has finished exporting your records.

To import your records back into a Sage 50 Pro Premium and Quantum company file, follow the following steps:

  • Open the company file you want to import the records to
    1. Click on File
    2. Click on Import/Export
    3. Click on Import Records
    4. Choose the Sage 50 import format option and click on Next
    5. If you have not previously made a backup, you can make one now
    6. Click on Browse and locate the corresponding record you want to import
    7. Click on Next and then click Finish


Note: If you already created a company with an existing chart of accounts, Sage 50 will not allow to import your accounts unless you are working on the Accountant's Edition. If you have not yet created a company and want to import your accounts, you will need to choose the option Have Sage 50 create a list of accounts from an export file. then select Sage 50, browse to the export file during the company creation wizard on New company Setup, Step 5, List of Accounts.
