How do I merge accounts in my chart of accounts in Sage 50?

Description

The two accounts merged must have the same settings for the following conditions:

  • Same Group (asset, liability, equity, revenue, expense)
  • Same Type (Group, Subgroup)
  • Same Class (For example, asset has class like cash, bank, credit card receivable)
  • Same Currency
  • Same Reconciliation Setting (on/off)

The Merge From account cannot be a linked account.


Resolution

Method 1: I have the Accountant's Edition

  1. Select Maintenance, then Merge Records.
  2. Select Accounts, then Next.
  3. Select the Account to Merge From and the Account to Merge To.

Method 2: I don't have the Accountant's Edition

  • Accounts merging is only available with the Accountant's Edition.
  • Sage recommends you contact your accountant or Registered Sage Partner (SAN) who has access to the Accountant's Edition.
  • If your accountant or SAN has the Accountant's Edition:
    1. Make a backup of your data file.
    2. Send a copy of the backup to your accountant/SAN.
    3. Do not post any entries until your accountant/SAN has returned a modified backup.
  • If your accountant or SAN does not have the Accountant's Edition:
    1. Consider doing a general journal entry to transfer any outstanding amounts to the correct account.
    2. Wait 24 consecutive months, then inactivate the account.
