Summary
When you record transactions in Sage 50 Accounting, you can associate individual line items or the total amount with specific projects.
Description
- Depending on the industry type of your company, the Project module name can be Job Site
- You can only allocate projects in invoices and payroll
- Payments and Receipts are only for bank account transactions
Resolution
NOTE: For the purposes of this article, we’ll allocate revenues to a project in the Sales Invoice journal. The same principles apply when allocating in the Payables and Payroll journals.
- Create a sales invoice. Receivables, Sales Invoices, then Invoice, Create Invoice.
- Select a customer, then enter an item on the invoice.
- Double-click in the Projects (or Job Sites) column. The Project (Job Site) Allocation window opens.
- Click the magnifier glass and select a project.
NOTE: If there's no magnifier glass, type in any letter and press the Enter key. The system will display the list of projects.
- In the Project (Job Site) Allocation window, check Apply to Entire Transaction to allocate the whole project. Leave it unchecked to allocate portions to multiple projects.
NOTE: Allocate by amount or percentage. If set to allocate by amount, the system will automatically calculate the percentage.
- Allocate the balance or another portion of the transaction to a second and or third project.
- Once you've allocated the entire amount of the first item, select OK.
- The project name will appear in the Projects (or Job Sites) column.
Notes:
- Before posting, select Report, Display Sales Transaction Detail to confirm the transaction is correct
- Go to Reports, Project, Budget, Actual versus Budget to compare actual revenue to the budgeted revenue. Filter the report to include the projects you want data on for the time period you require
- Generate a project report to get a report of projects
- Pro, Premium and Quantum versions are able to allocate to projects
- The allocation icon for Payroll is on the top right of the Payroll journal. It’s the blue checkmark, to the right of the printer icon
- You can also go in the module menu in sales and purchases to:
- View, Customize Windows, Columns, then uncheck Projects. This will add the column project in the line item of the invoices. You’ll only see the column Projects on the screen, it won’t print
