In this article, you will learn how to change the numbering used for your invoices in Sage Accounting.
Resolution
How to customize your prefixes and invoice numbering:
- Click on the Settings tab and then select Business settings (in Sage Accounting Start go to More > Business settings)
- Click Document Preferences
- Save
Prefixes:
- Enter the text that wanted to appear before the relevant form type number up to a length of six characters
- This field can be left blank
- The Prefix can be changed anytime, the prefix displayed will be used for the next document created
NOTE: Please note Prefixes cannot be changed in Sage Business Cloud Accounting Start
- A yearly or monthly prefix and/or invoice numbering cannot be automatically generated. This will need to be done manually on a yearly and/or monthly basis
Numbering:
- You can numerically change the numbering for Quotes, invoices, and credit notes
- The numbering can be changed anytime, the number displayed will be used for the next document created
- You can also select whether you want to group the numbering sequence for your invoices and credit notes together or keep them separate
NOTE:
- The numbering can be changed, but not the number of an invoice you are creating or that is already created
- If an invoice has previously been canceled, the same number cannot be reused again in Accounting as it is used as a unique identifier
- Once an invoice is created, the reference cannot be changed anymore
- As a workaround for the reference, modify the prefix by adding a space; dash; bis, etc. then reuse the same numbering, only the prefix will be slightly different, and the system will allow you to create this new reference
- You can't have more than one series of invoice numbering for the moment. Our developers are working to include more possibilities and customization in future versions
- When closing a financial year, sequential invoice numbering continues. Start from number 1 for the following financial year by changing the prefix (not available in Start).
The feature covered in this article may not be available in Sage Business Cloud Accounting Start or Accounting Standard.
