 Use this article to:

  • Upload expense invoices or receipt images
  • Forward emails with invoices or receipts to Sage Accounting
  • Review and approve draft transactions

 What you can upload

  • Upload up to 25 transaction files at a time
  • Use PDF, JPG, JPEG, PNG, or TIFF files
  • Include only one transaction in each file
  • Keep each file under 20 MB

 Review uploaded drafts

  • Refresh the Drafts to approve page to update the upload status
  • Review new draft transactions on the Drafts to approve tab
  • Use the number on the tab to see drafts ready for review
  • Open a draft invoice by selecting the transaction row

Upload or email an invoice or receipt

Upload
  1. Enable Purchase Automation from Settings, Apps and connections, Purchase Automation. Select Enable.
  2. From the main dashboard, go to the Expenses menu.
  3. From the New Bill dropdown menu, select Upload file.
  4. To upload files, select up to 25 files, then select Upload invoices.
Email
  1. To email files, select Copy email address, then forward the invoice or receipt to that address.
  2. After the upload finishes, open the Drafts to approve.
  3. Confirm that each uploaded file shows To review.

If the status shows Processing, refresh the page.

Processing errors

A processing error can happen when:

  • The file fails the virus scan
  • Sage Accounting can’t read the file
  • The image is unclear, too dark, or zoomed out
  • An error interrupts the upload process
  • The file already exists in Sage Accounting
To find an archived file:
  1. Go to Drafts to approve.
  2. Select Archived in Show.

If the file has a password, remove the password, then upload the file again. Sage Accounting leaves fields blank when the document or image doesn’t include the required information. If the upload still fails, create the transaction manually.
