How to record credit card transactions

▼Set up the credit card account

  1. Open Banking, select New, then choose Bank Account.
  2. From Account Type, select Credit Card.
  3. Enter a clear account name and required details, then click Save.

▼Enter the opening balance

  1. Click Add Opening Balance.
  2. For a positive balance with the card provider, enter Card Balance.
  3. If you owe money, enter Overpayment.

▼Optionally connect a bank feed

  1. Click Save and Connect Bank.
  2. Import transactions to reduce manual entry, ensure only cleared transactions import, keep balances current, and speed reconciliation.

▼Optionally create a ledger for card charges and interest

  1. Open Financial Settings and select Chart of Accounts.
  2. Add a ledger account with these settings:
    • Name: Credit card charges
    • Display Name: As preferred for reports
    • Code: Use 7000–7999, for example 7901
    • Category: Overheads
    • Tax Rate: Exempt
    • Visibility: Keep defaults

▼Record payments made with the credit card

  1. Open Banking. Select the credit card account.
  2. Click New, then choose Expense / Payment.
  3. To pay a vendor bill, select Vendor Payment.
  4. For other expenses, select Other Payment.
  5. Enter:
    • Bank Account 
    • Date Received
    • Amount Paid 
    • Ledger Account 
    • Detail
    • Tax Rate and Tax Amount
  6. If needed, add lines for different ledger accounts or tax rates. Ensure the lines total equals the payment amount.
  7. Click Save.

▼Record credit card charges and interest separately (optional)

  1. Open Banking.
  2. Select the credit card account. Click New, choose Expense / Payment, then select Other Payment.
  3. Set Paid from Bank Account to the credit card account.
  4. Use Method as Credit Card.
  5. Enter the Date Paid. Select the charges ledger in the Ledger Account, and set the Tax Rate to Exempt.

▼Transfer money to pay the credit card bill

  1. Open Banking.
  2. Click New, then select Bank Transfer.
  3. Enter Paid from Bank Account as the funding bank.
  4. Enter Paid into Bank Account as the credit card account.
  5. Provide Amount Transferred and Date Transferred, then Save.

▼Record refunds on the credit card

If your credit card connects to a bank feed, you can’t record the refund directly from the bank feed. Discard the refund from the bank feed, then enter it manually.

  1. Record money-in refund:
    • Open Banking, select the credit card account, click New, then Sale / Receipt
    • Open Other Receipt, then select Enter a refund for a purchase
    • Enter refund details
  2. Record money-out refund:
    • Open Banking, select the credit card account, click New, then Purchase / Payment
    • Open Other Payment, then select Enter a refund for a sale
    • Enter refund details
