Forms used to print W2s, 1095s and 1099s
Description

The IRS no longer requires forms with the red or black borders for printing year-end forms such as: W2s, W3s, 1099s, 1096s, 1095s.

Sage 100 includes "print and sign" tax forms functionality for payroll tax forms using Federal and State Tax Reporting. This feature eliminates the need for some pre-printed forms — allowing you to print on plain paper instead.

IRS regulations requirement

  • Print employee copies of Form W-2 (Copies B, C, and 2) on perforated paper.
  • Print Form 1099 (except Copy A) on perforated paper.
  • Provide individual filing instructions to each employee (IRS: About Form W-2 and the IRS: About Form 1099).
  • Sage Checks and Forms offer these plain paper forms in the required perforated format.

  • Federal W-2 (Copy A) = Print to Plain Paper
    • You can't print the Federal W2-SSA copy on perforated paper
    • The W-2 Copy A prints two employees per page
  • Federal W-3 = Print to Plain Paper
    • You can't print the Federal W3-SSA copy on perforated paper
    • Don't print the Federal Copy A and W-3 forms on pre-printed forms with red ink
    • Sage 100 requires Blank four-part perforated paper for the 4/page copies
  • State - Copy 1
    • Prints four employees per sheet
    • The system prompts to print to Blank four-part perforated
    • Contact the State agency for their specific W-2 printing/perforation requirements
  • Employee W-2 (Copy B, C and 2-Copy 2s)
    • Blank 4-part perforated paper
    • Print the recipient instructions to plain paper from within the 1099 eFiling viewer screen
  • Employer W-2 (Copy D)
    • Print to Plain Paper or Blank four-part perforated
    • Prints four different employees per sheet

  • Employee 1095-B - Blank Full page w/instructions on back
  • Employee 1095-C - Blank Full page w/instructions on back
  • The U.S. government accepts plain paper for Forms 1094 and 1095 Federal and Employer copies 
  • Aatrix prints the employee's address in alignment with the existing W-2 envelope. This is true for both of the 1095 forms

  • Federal 1099 NEC = (Copy A)
    • Prints three different recipients/page.  
    • The U.S. government accepts the Printing of Aatrix alternate forms on Plain/Blank paper.
  • Federal 1099 MISC, DIV, INT = (Copy A)
    • Prints two different recipients per sheet.
    • The U.S. government accepts the Printing of Aatrix alternate forms on Plain/Blank paper.
  • Federal 1096 Form
    • Approved for Plain/Blank paper printing.
  • Other Copies of 1099s -
    • Sage 100 requires Blank four-part perforated paper for the 4/page copies
  • State 1099 = (Copy 1)
    • Prints four different recipients per sheet. Use the Blank 4-part perforated paper
    • Contact the State agency for specific 1099 printing/perforation requirements
  • Recipient 1099
    • Federal Copy, Copy B for Recipient, two Copies Form 2 for recipient to file with state/local return)
    • Prints one recipient per sheet on a Blank 4-part perforated form
    • Print the recipient instructions to plain paper, from within 1099 eFiling viewer screen
  • Payer 1099 (Copy C)
    • Prints four different recipients per sheet on Plain Paper or a Blank four-part perforated sheet
  • State 1096
    • Print to plain paper.
    • Contact the State agency for their specific 1096 printing/perforation requirements. Not all states require the 1096 form.
